How Our Private Highland Tour Process Works

Planning a private tour of the Scottish Highlands should feel straightforward from the very beginning. At Tartan Tours Fort William, we keep the booking process clear while giving you the flexibility to shape your experience around your group, interests and travel plans.

You may already know which tour you would like to book, or you may need help deciding what will work best for your time in Scotland. From answering your initial questions to discussing the itinerary, price, duration and practical arrangements, we will make sure you know what to expect before your booking is secured.

Straightforward tours can usually be planned by email. For more detailed bespoke journeys and multi-day tours, we can also arrange a WhatsApp or Google Meet conversation when it would be helpful to discuss your plans in more detail.

How Our Process Works

Step 1 – Make Your Initial Enquiry

The process begins by getting in touch with Tartan Tours Fort William.

You may be interested in one of our existing private tours or have a particular journey in mind. Jamie can answer your initial questions and make sure the expected price and duration are clear before you decide whether you would like to proceed.

This is also a good opportunity to tell us about any particular places, experiences or travel arrangements that are important to your group.

Step 2 – Discuss Your Tour & Itinerary

Many guests choose one of our established itineraries, which have been developed to showcase some of the Highlands' best-known landscapes, attractions and viewpoints.

If you are looking for something more personalised, we can discuss an itinerary around your requirements. Straightforward requests can usually be arranged by email, while more detailed bespoke or multi-day plans can be discussed with Jamie through WhatsApp or Google Meet where required.

This gives you an opportunity to ask questions and explain what you would most like to experience before the arrangements are finalised.

Step 3 – Confirm the Practical Details

Once you are ready to move forward, we will confirm the important details of your tour.

This includes the agreed collection time and location, which will often be your accommodation, along with the main itinerary highlights and approximate timings.

Where necessary, we will also let you know which vehicle to look out for when your driver-guide arrives.

The agreed price and tour duration will be made clear before your booking is secured.

Step 4 – Secure Your Booking

Once the arrangements have been agreed, an invoice will be sent requesting a 25% payment to secure your booking.

The remaining 75% is due 30 days before your tour date.

This allows the main arrangements to be agreed in advance while giving you a clear payment schedule before travelling.

If you are booking a more complex bespoke or multi-day experience, the itinerary can be discussed in more detail before your booking is finalised.

Step 5 – Prepare for Your Tour

Before the day arrives, you will have confirmation of your collection time, collection point, itinerary highlights and approximate timings.

Tartan Tours remains available before your tour if you have questions, concerns or need help with anything relating to your plans in the area.

For any tour in the Scottish Highlands, we recommend bringing:

  • A waterproof jacket
  • Comfortable shoes

Highland weather can change quickly, and many itineraries include opportunities to leave the vehicle and enjoy viewpoints, attractions or short walks.

If you are unsure about anything before travelling, simply get in touch.

Step 6 – Enjoy Your Private Tour

On the day of your tour, you will be collected by your driver-guide at the agreed time and location.

Your itinerary gives the day structure, but one of the biggest benefits of booking privately is flexibility. If you would like to spend longer at a particular stop or consider adding somewhere else, your driver-guide can adapt the day where practical within the agreed tour time.

This allows your group to experience the Highlands at a more relaxed pace without being tied to a rigid large-group timetable.

Step 7 – Extend Your Tour If You Would Like More Time

If you decide during the day that you would like to continue beyond your agreed tour duration, additional time is available at £65 per hour.

This gives your group further flexibility if you want to stay longer at a particular location or add more time to the overall experience.

The original itinerary will still be planned around the agreed duration, so there is no requirement to extend your tour.

What You Can Expect

The process is designed to keep the important details clear while preserving the flexibility that makes a private Highland tour different from a standard coach trip.
